PoolStream Privacy Policy

Effective Date: September 4, 2026

This Privacy Policy explains how PoolStream collects, uses, stores, and shares information when you use PoolStream websites, accounts, hardware, software, and cloud services.

1. Information We Collect

PoolStream may collect information you provide directly, including name, email address, business or venue name, account information, venue information, device names and configuration, support communications, and billing-related information.

When payment processing is introduced, payment-card information may be collected and processed directly by PoolStream's payment processor. PoolStream does not intend to store complete payment-card numbers in its own application database.

2. Device and Operational Information

PoolStream devices may automatically provide operational information including unique device identifiers, software and firmware versions, hostname, IP and network-related information, online/offline status, streaming status, device configuration, venue and table association, diagnostic information, errors and service logs, command activity, and timestamps associated with device activity.

This information is used to operate, secure, maintain, troubleshoot, and improve PoolStream.

3. Match and Streaming Information

PoolStream may process information used to operate a match or stream, including player names entered by users, scores, race length, game type, match status, winner information, stream status, and configured streaming destination information.

This information may be displayed publicly as part of a livestream when the customer chooses to broadcast it.

4. Livestream Video

PoolStream's current architecture is designed so livestream video is transmitted directly from the PoolStream appliance to the customer's selected third-party streaming platform.

PoolStream Cloud does not ordinarily receive or store the livestream video itself.

PoolStream Cloud may separately communicate with the appliance to provide scoring, configuration, status, device management, and control functionality.

If PoolStream introduces an optional feature that stores or processes video in PoolStream Cloud, information regarding that processing will be provided before or when the feature is used.

5. Streaming Credentials

Customers may provide stream keys, tokens, or similar credentials necessary to connect PoolStream devices with third-party streaming platforms.

PoolStream may store such credentials in encrypted form and disclose them to an authorized PoolStream device when required to initiate a configured stream.

Customers are responsible for protecting and rotating their third-party credentials when appropriate.

6. How We Use Information

PoolStream may use information to provide and operate the Services; authenticate users; activate and manage devices; provide remote device control; maintain customer and venue accounts; process subscriptions and purchases; provide customer support; diagnose failures; maintain security; detect fraud or abuse; deliver software updates; communicate service-related information; improve PoolStream products and Services; and comply with legal obligations.

7. Email Authentication

PoolStream may use an email address to authenticate account access.

Where passwordless authentication is offered, PoolStream may send short-lived verification or login codes to the account email address.

PoolStream may maintain records necessary to prevent abuse, enforce expiration, and determine whether a verification code has been successfully used.

8. Legal Agreements

When you accept PoolStream's Terms of Service, Privacy Policy acknowledgement, or another electronic agreement, PoolStream may record your account, the document and version accepted, date and time of acceptance, IP address, and browser or device user-agent information.

These records may be retained as evidence of the agreement.

9. Service Providers

PoolStream may use service providers for infrastructure and business operations, such as cloud hosting, DNS and network services, transactional email, payment processing, monitoring and logging, customer support, and other necessary technology services.

These providers may process information on PoolStream's behalf as necessary to provide their services.

10. Third-Party Streaming Platforms

When you configure PoolStream to use a service such as YouTube or Facebook, information transmitted to that service is governed by that provider's own privacy policy and terms.

PoolStream is not responsible for the privacy practices of third-party platforms.

11. Cookies and Local Storage

PoolStream websites may use cookies, browser local storage, session storage, or similar technologies to maintain authentication, remember application state, provide security, preserve authorized control sessions, and improve usability.

PoolStream may provide additional cookie disclosures if analytics, advertising, or other non-essential tracking technologies are introduced.

12. Information Sharing

PoolStream does not sell personal information.

PoolStream may share information with service providers acting on its behalf; when directed or authorized by the customer; when necessary to provide an integration requested by the customer; to protect PoolStream, its customers, or others from fraud, abuse, or security threats; when required by law or valid legal process; or as part of a merger, acquisition, financing, reorganization, or sale of substantially all relevant business assets.

13. Data Retention

PoolStream retains information for as long as reasonably necessary to provide the Services, maintain security and business records, satisfy contractual obligations, resolve disputes, and comply with legal requirements.

Retention periods may differ depending on the type of information.

Certain records, such as transaction records and evidence of acceptance of legal agreements, may be retained after an account is closed where reasonably necessary for legal or business purposes.

14. Data Security

PoolStream uses reasonable administrative and technical safeguards intended to protect information.

These measures may include encrypted network communications, credential hashing, encryption of sensitive service credentials, authentication controls, access restrictions, and logging.

No internet-connected service can guarantee absolute security.

15. Account Information and Choices

Customers may request correction of inaccurate account information through available PoolStream account-management functionality or support channels.

Where applicable, customers may also request deletion or other handling of personal information, subject to information PoolStream must retain for legitimate business, security, contractual, or legal purposes.

16. Children's Privacy

PoolStream is intended primarily for use by businesses, venues, event operators, and adult users and is not directed to children under 13.

PoolStream does not knowingly solicit children under 13 to create customer accounts.

Customers are responsible for determining whether recording or broadcasting minors at their venue or event is lawful and for obtaining any required parental, guardian, or other consent.

17. Changes to This Privacy Policy

PoolStream may update this Privacy Policy as its products, business practices, or legal obligations change.

Material changes may be communicated through the PoolStream website, customer account, email, or another appropriate method.

PoolStream may maintain versioned records of this Privacy Policy and acknowledgement of applicable versions.
